Email works on every plan, with nothing to connect. Every inbox has its own email address, and anything sent to it lands in your inbox.
Your inbox email address
Section titled “Your inbox email address”Find it in Settings > Inbox, under Your inbox email address. Give it to:
- lead providers and marketplaces, so their lead emails come straight in
- your website provider and the other systems you use
- customers, if you like
Threadkite reads each new email to work out whether it’s a lead, a message from a customer, or something else such as a newsletter or an invoice. Leads are tagged with their source. Replies to your emails go back into the right thread.
To check it works, use Send a test lead in Connections > Lead sources. See Lead sources.
Forward your own mailbox
Section titled “Forward your own mailbox”If customers already email an address like sales@yourbusiness.co.uk, set up a forwarding rule in your email provider to send a copy to your inbox email address. Threadkite keeps suppliers, newsletters and spam out of the inbox, so it’s safe to forward everything.
Connect a mailbox
Section titled “Connect a mailbox”With Pro you can connect a Google Workspace or Microsoft 365 mailbox instead of forwarding. Email is then sent through your own mailbox, and your sent items stay in step. Anyone on a Full seat can connect their own mailbox; owners and admins can also connect a shared one, like sales@.
Your own mailbox
Section titled “Your own mailbox”- Go to Connections and choose Google Workspace or Microsoft 365 under Your accounts.
- Under Which mailbox?, choose Your own mailbox (owners and admins see this choice; for everyone else it’s the only one).
- Click Sign in with your provider, sign in and allow access.
Only email with people who are already contacts is brought in, from the last 30 days and from then on. The rest of your mailbox stays private. To have new people who email you become contacts, turn on Add new people as contacts on the mailbox’s page afterwards.
A shared mailbox
Section titled “A shared mailbox”- Go to Connections and choose Google Workspace or Microsoft 365 under Your accounts.
- Under Which mailbox?, choose A shared mailbox.
- For Microsoft 365, enter the Shared mailbox address.
- Choose where Its email goes to: the inbox for its customer messages.
- Click Sign in with your provider and allow access. For Google Workspace, sign in as the shared account itself; for Microsoft 365, sign in as yourself, with access to the shared mailbox.
Customer messages go to the inbox you chose; newsletters, invoices and suppliers stay out of it.
When you reply, Threadkite starts on the mailbox the thread’s last email went through, so your replies come from your business’s address whoever answers.
Send from your own address
Section titled “Send from your own address”If you don’t connect a mailbox, email is sent from Threadkite’s address with your business’s name, and replies come back to your inbox. To send from your own domain instead, see Sending email from your own domain.
Log email you send from elsewhere
Section titled “Log email you send from elsewhere”If you sometimes email customers from Outlook, Gmail or your phone, your personal logging address copies those emails into the customer’s thread.
- Go to Settings > Your profile and open Advanced: your logging address.
- Copy the address.
- Add it to BCC (or CC) on any email you send to a customer, or set up an automatic BCC rule in your email app.
Keep this address to yourself. If it’s shared by mistake, get a new one from the same place; the old one stops working straight away.
