Importing contacts

If you already have a list of customers, you can bring them in from a spreadsheet saved as CSV. Managers and above can import contacts.

  • Save your spreadsheet as a CSV file with a header row.
  • It can be up to 5 MB and 10,000 rows.
  1. Go to Contacts and click Import.
  2. Choose your CSV file.
  3. Say what each column holds: names, email addresses, phone numbers, the company, its number or website, job titles, your contact fields and marketing consent. Choose Leave out for columns you don’t want.
  4. Check What will happen: how many New contacts, Contacts updated, New companies and Companies matched there will be. If you change the columns, click Check again.
  5. Start the import. A bar shows the rows imported so far.

When it’s done you’ll see Import finished. Click See your contacts to look at them, or Import another file.

  • People you already have are matched by email address, then phone number. Only their blank details are filled in; nothing is overwritten.
  • Companies are matched by company number, then website, then name. New ones are added.
  • Consent is only recorded where a consent column says yes. Someone who opted out stays opted out.

If the import stops part way, you’ll see The import stopped with the reason. Rows already imported stay. Fix the file and import it again; people already in are matched rather than added twice.
